The pipeline
Nine stages, end to end
A paper never sits in an undefined state. Every stage has an owner, an entry condition and a recorded transition.
Intake
A provider submits; the administrator verifies the record.
Submitted
Steps 1–2Paper Provider has submitted metadata; a Paper ID is assigned in the central pool.
Under Verification
Step 3Administrator is checking journal, DOI and indexing details.
Verified
Step 3Metadata confirmed. Ready to be made available to Author Clients.
Collection
Positions are allocated and contributor details arrive.
Allocated
Step 4Made available to one or more Author Clients for requested positions.
Collecting Authors
Steps 5–6Author details arriving from clients and/or entered directly by the Administrator.
Ready for Review
Steps 7–9Every position is filled. Conflicts and duplicates await adjudication.
Delivery
The author list is locked, dispatched and acknowledged.
Finalized
Step 10Author list locked. No further contributor changes are accepted.
Dispatched
Steps 11–12Return package generated and sent to the originating Paper Provider.
Closed
Step 13Receipt acknowledged. Full audit history sealed.

Built around the blueprint
One central paper pool
Every paper from every provider lands in a single pool with its own Paper ID — no per-provider silos.
Separated relationships
Paper Provider and Author Client relationships never touch. Only the administrator bridges them.
Author Position Grid
Every byline slot in one view, with gaps, duplicates and competing submissions flagged automatically.
Guarded finalization
A paper cannot be finalized while a position is unfilled or contested. The rules are enforced, not advised.
Clean return package
The provider receives paper metadata plus the finalized author list — an immutable snapshot.
Complete audit history
Every stage change, submission, approval and delivery is recorded with actor and timestamp.
Access
Three roles, one workflow
An account holds exactly one role, and each role sees only its own side of the pool.
Administrator
Runs the central pool, adjudicates competing submissions and releases the finalized list.
Paper Provider
Submits papers and receives the finalized author package back.
Author Client
Contributes to the positions they are asked to fill — and sees nothing else.
